Stage 1 · Day grids and allocation letters
Each day's allocation letters go out exactly as for the other courses: Open allocation page, add the briefing documents, CHECK LETTERS, then Send all. Each day can be sent on a different date.
Each day is saved on its own. Save this day keeps only that day; other days' changes stay on screen until you save them. Open allocation page saves the day and opens it in a new tab. Type a name, or copy cells from Excel and paste into the first cell. Orange = not on the Participants register; red = in two stations on the same day.
Itinerary (in every OSCE allocation letter)
One line per item, starting with the time, e.g. 9.30am - Session 1. A line without a time (such as the lunch note) shows underneath. It appears in its own box under the sign-off. Leave it empty to show no itinerary.
Import the grids from a spreadsheet
An .xlsx laid out like the OSCE planning sheet. Days are filled in order, replace what is in the grids now and are saved straight away.
Participant breakdown
Stage 2 · Separate confirmation letter
One letter to each participant listing all the days they have been allocated. It goes out on the weekend before the week of the OSCEs: Saturday 31 October 2026 or Sunday 1 November 2026.
- Check the wording below and press Save email details. The preview on the right updates.
- Press Send Test: a copy goes to your test address only and nothing is recorded.
- On that weekend, make sure every day's grid is saved, then press Send. Each person gets one letter listing every day they are in the grids at that moment.
- If a grid changes after that, the people affected show Days changed; Send then goes to them only.
